PARTICIPANT SERVICES VOLUNTEER

PRINCIPAL DUTIES AND RESPONSIBILITIES:
– Problem solve with individuals (person or by phone) in obtaining resources (food sourcing, furniture, treatment, assistance, etc.) or with locating of phone numbers or locations
– Provide timely and accurate, high quality customer service to participants and staff
– Take phone messages from voice mail and from the phone for staff and participants
– Handle correspondence for participant mail: record / store for pick up / maintain records
– Schedule and maintain appointment book (Google Calendar) for Volunteer Income Tax Program
– Maintain email account for front computer by deleting spam and forwarding other information to other staff members for follow up
– Be aware of programs and services available at SMUN
– Be able to find information about programs and services available outside of SMUN
– Return phone calls as required
– Being aware of volunteers’ movements in and out of organization to provide participants / phone contacts with correct information
– Monitor visitor access and maintain security awareness
– Provide general administrative and clerical support as required
– Maintain inventory relevant to reception, office and centre as required and requested
-Tidy and maintain the reception area

KNOWLEDGE, SKILLS and ABILITIES:
– Excellent communication and customer service skills
– Have the ability to work well independently and within a team environment
– Be detail-oriented; possess critical thinking and problem solving skills
– A genuine and sincere desire to work with, and assist people
– An ability to listen in a respectful and dignified manner
– Demonstrate working knowledge of Microsoft Office Suite and search engine software
– Comfortable answering a phone using a headset
– Ability to multitask
– To be able to work in a fast paced, sometimes noisy office environment
– Able to be assertive when making request to and for participants
– Must be literate and comfortable with numeracy
– Bilingual skills a plus

QUALIFICATION
Education / Experience: High school diploma or GED, and one year related experience or equivalent combination of education and experience

PHYSICAL DEMANDS
Minimum physical exertion. While performing the duties of this position, the volunteer is frequently required to sit, communicate, reach and manipulate objects, tools or controls. This position requires mobility. Duties involve moving materials weighing up to 5 pounds on a regular basis and up to 20 pounds on an occasional basis. Manual dexterity and coordination are required over 50% of the work period while operating equipment such as computer keyboard, mouse, calculator and similar machines.

WORKING CONDITIONS
Usual office working conditions. The noise level in the work environment is typical of most office environments, but can be hectic and fast-paced at times. Significant daily contact in person and by phone with participants and staff

SUPERVISION:
Works under the general supervision of the Receptionist/Program Support Worker
